Any employee can submit an Alert so the correct office (Advising, Learning Commons, Student Support, Student Success) can connect with a student who needs extra help. Submitting an Alert means you want a College employee to reach out to a student. Here are types of alerts that can be raised.
- Academic goal challenges
- Career goal challenges
- Changes in demeanor/attitude
- Difficulty adjusting academically
- Difficulty adjusting personally
- Family problems
- Food insecurity
- Homelessness
- Incomplete assignments
- Lack of participation
- Low grades
- Mental health concerns
- Minor disruptive behaviors
- Personal crises
- Physical health issues
- Poor class attendance
- Significant life changes
- Stopped attending
- Substance abuse indicators
- Withdrawal or isolation
How to Submit an Alert
- Log in to the My Vol State Portal and click the Student Success Portal (SSP) icon.

- In the left-hand menu, select Find a Student. Faculty can also submit from class rosters; advisors can submit from advisee lists.

- Enter one or more details (ID, name, email) and click Search.

- On the student row, click Submit Alert.

- In the pop-up, choose the Alert Type and add a brief Note; then click Submit.

You’ll receive a confirmation email when you submit an alert and when the alert is closed.
You can check the statuses (New, In Progress, Closed) of your submitted alerts at any time under Alerts in the Student Success Portal menu and see the assigned staff member.
Key Academic Alerts
- Early in the Semester (Weeks 2 & 3)
Remind students that they have resources to help them be successful while in school (College Success Zone). Encourage them to keep up with their assignments now so they can finish strong and complete the semester.
- Week 7
Week 7 is critical for students who MUST improve or will need to withdraw by the deadline. Encourage students to begin making appointments with their assigned advisors for their next semester classes.
- Just Before the Withdraw Deadline
All students need to be reminded of the last day to withdraw from a class and earn a grade of “W”. This is especially important for those students who are not going to pass the class. You can also use this time to encourage priority registration for the next semester.
