How to submit the "Office Move Form"

The "Office Move Form" is found at the "Plant Operations" website. 

The "Office Move Workflow" provides a visual on the "VSCC Move Process".

*Only one form needs to be submitted by leadership to have the following steps activate.

Maintenance:

Leadership Submits Office Move Request > Facilities & Const. Manager Verifies Request > Move request approved by Facilities & Const. Mgr. > Requestor is notified and process begins. > Timeline is established for relocation. > Facilities & Const. notifies maintenance to update office with fresh paint and carpet if needed. > Maintenance moves boxes and office items.

Information Technology:

Leadership Submits Office Move Request > Facilities & Const. Manager Verifies Request > Move request approved by Facilities & Const. Mgr. > Requestor is notified and process begins. > Timeline is established for relocation. > Information Technology is notified about pending relocation and move ticket is submitted. > Information Technology verifies move schedule and moves phone, computer, and changes directory. 

Campus Police:

Leadership Submits Office Move Request > Facilities & Const. Manager Verifies Request > Move request approved by Facilities & Const. Mgr. > Requestor is notified and process begins. > Timeline is established for relocation. > Campus Police is notified by Facilities & Const. for key change. > Requestor turns in old keys and new keys are issued by Campus Police on the official move day.

What if my request is denied? 

Leadership Submits Office Move Request > Facilities & Const. Manager Verifies Request > Move request denied, leadership is notified and process stops.

Why do I need to make sure that I submit the "Office Move Form"?

  • If you submit your "Office Move Form", then 
    • Maintenance knows when and where to move your boxes and office items.
    • Information Tech knows when and where to schedule moves for your phone, computer, and make changes to the directory and Team Dynamix.
    • Campus Police in addition to providing you keys to your office the Campus Police will have the correct information from the directory and TeamDynamix in event of an emergency occurring in your office.
      • Example: If there is an emergency in your office and you make a call to Campus Police then:
        • Campus Police will respond to your office.
  • If you do not submit your "Office Move Form", then
    • Maintenance will not know when and where to move your boxes and office items.
    • Information Tech will not know when and where to schedule moves for your phone, computer, and make changes to the directory and Team Dynamix.
    • Campus Police in addition to not being able to provide you keys to your office will have the correct office information in event of an emergency occurs in your office.
      • Example: If there is an emergency in your office and you make a call to Campus Police then:
        • If your old office is still what is recorded, then Campus Police will go to your old office even if you are calling from your new office.
