What are wēpa print kiosks?

The wēpa (pronounced “wee-pah”) print kiosks allow students to print their documents from open lab computers, personal computers, Android and Apple devices, USB flash drives and also provide the ability to scan documents into the wepa as well. The company uses cloud technology to store print jobs for six days until students can retrieve them from any one of the wēpa print kiosks at Volunteer State Community College.

Where are the kiosks located?

There are six wēpa print kiosks that are located throughout the Vol State main campus in Gallatin. There are four wēpa kiosks that are located in the Thigpen Library; two are in the open lab area on the Library side and the other two are on the Learning Commons side; a fifth wēpa kiosk is located in the Wood Campus Center in the tiled dining room conveniently located near the cafeteria; a sixth wēpa kiosk is located on the 2nd floor main hallway of the Steinhauer-Rogan-Black Humanities Building.

In addition, there are two wēpa print kiosks that are located at the Vol State Highland Crest campus in Springfield; one on the first floor in room 138 in the student lounge area and one on the second floor in room 231 in the library.

Frequently Asked Questions

How much does it cost to print jobs?

The cost is $0.07 for black and white prints per a page, and $0.30 for color prints per a page. If you print in duplex (two-sided) then you save a penny and the cost is $0.13 for black and white prints on both sides, and $0.59 for color prints on both sides. A $0.40 surcharge applies for each transaction paid with a credit/debit card. The additional surcharge can be avoided by paying with a wēpa account that has been deposited with at least $5.

How do I pay for my copies?

There are multiple options for paying for your wēpa print jobs — Vol State wēpa account pre-credit, a wēpa account, credit/debit card, PayPal, Venmo* or ApplePay* (*using the wēpa Android or iOS app).

Volunteer State Community College will provide each currently enrolled Vol State student, taking classes, with a $17.50 Vol State wēpa account pre-credit for printing on the Wēpa Kiosks each semester during the academic year; the credit is funded at the beginning of the Fall, Spring, and Summer (full term) semester. This $17.50 printing credit is the equivalent of 250 sheets of single sided black and white printing. Any leftover credit will roll from Fall to Spring and Spring to Summer, as long as the student stays enrolled. However, any credit left from the Summer term will not transfer to the Fall semester; as the credit resets at the beginning of each academic year at the beginning of the next Fall semester. The printing pre-credit is non-transferable, non-refundable, has no cash equivalent, and is to be used for printing from the Wēpa Kiosks only. The Pre-Credit is only available while the student is taking classes.

If you are a Vol State student, your Wēpa account has already been created for you by the college. You can login at any campus Wēpa kiosk with your MyVolState Portal login user-name and password. You cannot reset your password at the Kiosks – you will have to go to the MyVolState page and click on “Change or activate your password”.

You may also pay for your point-of-sale print station transactions with a credit/debit card or PayPal on the wēpa kiosk screen or by using the wēpa website or using the Venmo or ApplePay apps through the wēpa mobile app (Android or iOS). Any deposits and point-of-sale transctions for $5 or more will not be charged a fee, but point-of-sale transactions below $5 will be charged an additional $0.40 surcharge for each transaction; avoid this fee by depositing or spending more than $5.

Funds that are added to the wēpa account by the student with a credit/debit card or PayPal are available until they are used.

You cannot use cash or coins to pay for print jobs at the wēpa kiosks. As of June 1, 2019, swiped credit/debit cards are no longer be accepted at the wēpa print stations. Point-of-sale credit/debit card transactions at the wēpa print stations will be done by entering card information on the screen.

How do I send my print jobs to a wēpa kiosk?

From a campus computer (open lab):

  1. Under File > Print > Printer, select an appropriate driver for your print job:
    • wepa BW
    • wepa BW Two-Sided
    • wepa Color
    • wepa Color Two-Sided
  2. Press the Print button – your print job will upload to Wēpa.
  3. Go to any of the on campus Wēpa Print Kiosks.
  4. Wake the Kiosk by touching the screen.
  5. Select I don’t have a card and then Wēpa Account Login.
  6. Login with your MyVolState Portal credentials.
    • Note: You do not need to add @volstate.edu to your user name.
  7. Select the print job(s) you want to print, then select Print.
  8. Select the payment option Wēpa Account to print from your account credit or Credit Card or Paypal to pay using a credit/debit card or Paypal account.

From a USB Flash Drive:

  1. Wake the Kiosk by touching the screen.
  2. Select I don’t have a card and then Wēpa Account Login.
  3. Login with your MyVolState Portal credentials.
    • Note: You do not need to add @volstate.edu to your user name.
  4. Select USB Drive from the menu on the right.
  5. Insert your USB drive as instructed.
  6. Select the documents you want to print.
  7. Select appropriate printing options for your document, select OK, then select Done.
  8. Select Print when all documents are ready to be printed.
  9. Select the payment option Wēpa Account to print from your account credit or Credit Card or Paypal to pay using a credit/debit card or Paypal account.

From a personal Computer:

  1. Save your document to either the local drive or a USB flash drive.
  2. Navigate any web browser to wepanow.com.
  3. Select LOGIN in the upper right corner.
  4. Select Volunteer State Community College from the drop down menu.
  5. Log in with your MyVolState Portal credentials.
  6. Select Document Upload, then select Choose your file…
  7. Navigate to and select the file you want to upload.
  8. Select the print options you want for your print job, then select Send print options.
  9. Go to any of the on campus Wēpa Print Kiosks.
  10. Wake the Kiosk by touching the screen.
  11. Select I don’t have a card and then Wēpa Account Login.
  12. Login with your MyVolState Portal credentials.
    • Note: You do not need to add @volstate.edu to your user name.
  13. Select the print job(s) you want to print, then select Print.
  14. Select the payment option Wēpa Account to print from your account credit or Credit Card or Paypal to pay using a credit/debit card or Paypal account

You can also download the Wēpa software from www.wepanow.com and use it to print from your personal desktop, laptop, tablet, or cell phone. Do not set up a new account; log in to the software with your MyVolState credentials. Please vist wēpa's website for more information on uploading and printing using the wēpa kiosk.

How do I print a document uploaded to wēpa's website?

Users may upload files at www.wepanow.com. Once you are registered and logged in the site, click on “Print Now,” browse for your file, select your print options and upload your document. Then, click on “Send to wēpa” and it will be sent to any wēpa kiosk on campus. Once there, you will login, select your document, select your payment option and print your document.

How do I print a document directly from my mobile device — such as an iPhone, iPad, or Android phone?

How do I print from a USB flash drive?

You can print directly from your USB flash drive at any wēpa kiosk. Simply touch "Print from USB,” insert your USB flash drive (your files will be displayed), select your file(s) you want to print, select your payment option and print. The USB flash drive feature doesn’t require you to have a wēpa account in order to print at a kiosk.

How long are my print jobs available at a kiosk?

Print jobs are available for six days. After that, you may send them to the wēpa cloud again to be printed.  If you have printed your document and would like another copy during the six-day window, you can recover the file at wēpa's website to print it again.  Documents are permanently removed from wēpa servers after six days.

What documents will the wēpa kiosks print?

The wēpa kiosks support any document that is able to be printed form a software application. In other words, if you can print to your own printer you can print to wēpa. From USB, the wēpa kiosks support Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Rich Text Format, and Adobe PDF documents along with Apple Pages, Keynote and Numbers applications. The wēpa kiosks also support JPG and BMP printing. Note: Image printing is only available by using a USB flash drive or the integrated wēpa flatbed scanner installed at a wēpa kiosk.

Can I use any wēpa kiosk on campus to print my jobs?

Yes.

Does every kiosk offer color printing?

Yes. Every wēpa kiosk offers black and white, and color prints.

Can I print documents from a campus classroom lab to a wēpa kiosk?

No.

How do guests — those people who are not students, faculty or staff with a valid Vol State ID — use wēpa?

They can create a wēpa account (www.wepanow.com), transfer funds into the account and send documents to a kiosk. Keep in mind that wēpa accounts must be deposited with at least $5 to avoid a $0.40 surcharge for each print transaction. Or, guests may insert a USB flash drive into a wēpa kiosk and print their documents. Guests would then have to pay with a credit/debit card as a point-of-sale transaction by entering card information on the wēpa kiosk screen, which includes a $0.40 surcharge for each print transaction.

Who do I contact if I need technical support at a kiosk?

At the Vol State main campus in Gallatin, contact the Vol State IT Help Desk at 615-230-3302 or drop by in-person; Help Desk Associates are located in the Thigpen Library on the Learning Commons side in Room 123 and the Help Desk Assistants are located on the other side of the glass wall at the Help Desk Assistant desk.

For assistance at the Vol State Highland Crest campus in Springfield, you can drop by in-person at the first floor reception desk and receive assistance from one of the available Computer Lab Assistants.

Who do I contact if I need advanced technical support uploading documents or installing print drivers on a personal computer or mobile device?

Who do I contact if I need to request a refund or credit for my wēpa account?

The Vol State IT Help Desk does not have the ability to assist users with wēpa credit or refund issues. For assistance, please contact Wēpa directly at 1-800-675-7639 or help@wepanow.com. Wēpa only provides refunds for damaged prints or those prints containing a defect; also, you must request a refund within 3 business days of the incident. Depending on the situation, a picture of the print may be needed for a refund to be processed which helps Wēpa determine what caused the problem and to eliminate fraudulent refund requests. Do I have to create a separate wēpa account to use the print kiosks?

No, you will want to use your Vol State wēpa account pre-credit; if you're out of credit, you may also pay for your point-of-sale print station transactions with a credit/debit card or PayPal on the wēpa kiosk screen, or by using the wēpa website or using the Venmo or ApplePay apps through the wēpa mobile app (Android or iOS). You can also print from a USB flash drive inserted into the kiosk, and pay with your Vol State wēpa account pre-credit, credit/debit card as a point-of-sale print station transaction or PayPal on the wēpa kiosk screen, or by using the wēpa website or using the Venmo or ApplePay apps through the wēpa mobile app (Android or iOS).

What is the release code, and am I required to use it?

After you send your print job to the wēpa kiosk, you are given a six-digit “release code.” That code can then be entered at any kiosk on campus to release your document for printing. However, you are not required to use the release code, if you login with your user name and password. The release code is associated with just one print job. If you want to print more than one job, it suggested that you login with your user name and password. You can only print one print job once — meaning, once it’s printed, you can’t print the same document again without sending it to the wēpa “cloud.”

 

Volunteer State Community College reserves the right to change the costs, pre-credits, features/functions, payment methods, paper type/size, printing options, software/hardware, kiosk locations on campus, log in methods, etc. without prior notice (written, electronic, or otherwise) to the campus community. The WEPA program may be changed in part or in its entirety as well without prior notice. Vol State students actively taking classes will have access to WEPA; certain students that are enrolled in programs via other colleges/universities, or that are in certain special programs of the college, will not be given pre-credits. Employees are to use the printers within their departments. Guests/Patrons of the college will have to pay for all printing via credit/debit card. Cash and coins are not accepted for printing
