Using the Employee Directory in the My Vol State Portal

Over the last year, under the direction of Dr. Tostenson, both of the Faculty and Staff Focus Groups agreed that there needs to be a better tool to improve the Employee Directory experience.

This Knowledge Base Article Provides:

How to access, navigate, and explore the Employee Directory from the My Vol State Portal.

  1. Every Faculty and Staff member has been provided an app within their "My Vol State Portal" that is titled "Employee Directory".

  1. You will be directed to the Microsoft M365 People search when you select the "Employee Directory".

  1. You can search by "Name" or by "Keywords".
    • Searched "Delois"

  • Searched "Learning Commons" (15+ Names Found)

  1. Select the contact you are looking for to find out more information.

How to update your own Employee Directory professional profile.

  1. Search your own name.
  2. Select "Update your Profile" to edit your profile. 
    1. The "General" tab is where you can update your profile picture. 
    2. The "Contact" tab is where you can add a phone number for a Business fax, Home, or Mobile.
      • If you have the Webex app on your personal phone, then you have less need to give out a Home or Mobile phone number.
    3. The "About" tab is where you can add approved departmental keywords and phrases to your profile.
      • Editable boxes include Biography, Skills, Interests and Hobbies, Projects, Education, and Birthday. 
  3. Save your changes.
    1. Once your changes are saved you will get a message advising that "It can take up to 24 hours for your profile updates to show in Microsoft apps."

How to find and use commonly used keywords that are approved for the Employee Directory. 

  1. We are in the process of creating a file within SharePoint that will be accessible to all Faculty and Staff that have all approved departmental keywords.
    • This link will be provided alongside the Employee Directory App.
